A novel smart system for managing and synchronizing schedules in an inpatient neurorehabilitation unit: a quality care project

ABSTRACT

Background:

In the context of complex and multidisciplinary neurological rehabilitation, the efficient coordination of healthcare resources and treatment schedules is critical to enhance clinical outcomes. Current literature predominantly addresses scheduling challenges from a mathematical perspective, focusing primarily on physical and occupational therapy; overlooking the comprehensive nature of inpatient rehabilitation departments, there is a significant gap regarding effective management and coordination strategies.

Objective:

To evaluate the effectiveness of a digital technology system, DayByDay, in managing and coordinating multidisciplinary treatments during inpatient neurological rehabilitation.

Methods:

User experience and satisfaction with DayByDay were assessed via cross-sectional survey distributed six months after product implementation. The survey included Likert-like scales, binary options, and free text responses.

Results:

12 patients and 19 healthcare team members in a neurological rehabilitation department completed the survey. Patient satisfaction was found to be 100% with all patients recommending the continued use of the digital platform. Staff satisfaction was 89.5% and 84.2% of staff recommended the technology. Patients found the system user-friendly, and staff reported that the system prevented duplications and errors in scheduling, thus easing administrative tasks. Technical issues were promptly addressed.

Conclusions:

The innovative digital platform, DayByDay, effectively addressed scheduling and coordination challenges in the inpatient neurological rehabilitation department. In addition to optimizing resource utilization, it improved the patient experience. Its success in enhancing patient and healthcare worker satisfaction, minimizing inefficiencies and errors, and streamlining workflow suggests that similar systems may be beneficial in other complex multidisciplinary rehabilitation settings.
